The Fleet Shop Gets an AI Assistant: Meet Fleetio’s AI Service Advisor
Key Highlights
- This AI tool takes more things off your plate. 🍽️ Service Advisor can prioritize issues, draft work orders, assess repair costs, and close eligible issues after service.
- Fleetio reports less time in the shop. During its six-month open beta, assets returned to service an average of 2.5 hours sooner per repair.
- Fleet managers set the approval limits. Service Advisor can advance eligible low-risk outsourced repairs within fleet-defined rules.
Fleetio isn’t a telematics device or provider. Fleetio is a Birmingham, Alabama-based company that makes software for managing fleets and their maintenance. This software connects to telematics systems, and it uses that vehicle data to help fleet managers track equipment and plan maintenance. Got it? Fleetio says it supports more than 8,500 fleets and millions of assets across 100+ countries, and it processes tens of millions of repair orders through a network of over 140,000 repair shops. That sure seems like a lot. To help improve and streamline these multitudes of workflows, Fleetio just announced it has expanded its AI Service Advisor. From this press release:
“We’re moving toward a world where fleet technology does more than surface information. It should understand the context behind a decision, apply what it has learned from years of operational data, and help determine the right action in the moment,” said Jorge Valdivia, CTO at Fleetio. “AI Service Advisor brings that intelligence directly into the maintenance workflow by automating routine decision-making to help fleets focus on the situations that require experience, ultimately driving real cost savings.”
When we covered Fleetio’s 2026 Fleet Benchmark Report (an annual study combining fleet data and survey responses), AI curiosity had a big lead over AI commitment. Some 53.3 percent of surveyed fleets were researching or piloting AI. Just 5.6 percent used it broadly, and half worried about accuracy and reliability. Fair enough. Fleetio thinks its AI Service Advisor is a good answer to this curiosity, and it’s now generally available to its fleet customers. The tool works inside Fleetio’s maintenance workflow. It can sort incoming issues, examine repair costs, prepare work orders, and handle some routine approvals. Let’s dig in a little deeper.
From fault code to work order
In the press release, Fleetio describes its AI Service Advisor as “a built-in maintenance expert designed to help fleets make faster maintenance decisions and automate routine processes.” During a six-month open beta, AI Service Advisor assessed more than $1.4 billion in maintenance spend. What were the results? Fleetio reported that assets returned to service an average of 2.5 hours sooner per repair. That’s a pretty impressive stat. Here’s how Fleetio describes the AI Service Advisor’s major processes:
- Drafting work orders from maintenance signals, helping teams start with a recommended plan.
- Assessing in-progress maintenance against fleet history, costs, warranty opportunities, and maintenance patterns to surface the work that deserves a closer look and identify opportunities to bundle maintenance.
- Prioritizing issues, allowing teams to focus on items with the highest operational impact.
- Automatically resolving eligible issues and approving low-risk repairs within fleet-defined policies to reduce manual follow-up.
“The fact that I don’t have to go line by line on every work order is huge. AI Service Advisor is incredible because there’s absolutely no way one person can catch everything,” said Jill Perry, Fleet Administration Manager at Ramos Oil. “By automatically flagging items that require a deeper dive, Service Advisor just makes my life so much easier and less time-consuming. That alone easily saves me an hour and a half a day, which can add up to about 400 hours a year saved.”
Jill seems happier. Maybe that’s because this AI Service Advisor can automatically resolve more than 2,000 maintenance issues each month, according to Fleetio. And according to this recent Fleetio article written by Brianna Perry: “Since Open Beta, Service Advisor has prioritized more than 550,000 issues, and users accept AI-assigned priorities 97 percent of the time.” For a construction fleet, that could definitely help a shop sort that ever-growing queue of data identification and processing tasks.
What’s next?
Fleetio notes that this AI Service Advisor draws on 14 years of maintenance data the company has accrued across millions of assets and tens of millions of repair orders. The company also notes it’s already looking into the future. According to this article, Fleetio plans further capabilities, including custom instructions and more detailed handling of manufacturer-specific fault codes, but that’s all still in the works. I guess the next step is proving that AI Service Advisor actually holds up across the varied machines, jobs, and repair demands of a construction fleet. Are you willing to find out?
